The Documents module is a repository for files associated with your CRM records. Documents can be uploaded, versioned through revisions, and linked to Accounts, Contacts, Opportunities, Cases and other modules.
Document Name: the display name of the document. Required.
Filename: the actual file to upload. Required. Supported for any file type.
Active Date: the date from which the document is considered effective. Required.
Expiration Date: the date after which the document is no longer current. Useful for contracts, policies or time-limited materials.
Category / Subcategory: classifies the document for browsing and filtering across the module.
Status: the document’s current state: Active, Draft, FAQ, For Review or Obsolete.
Revision: the version number of the document. Each upload creates a new Document Revision record, preserving version history.
Is Template / Template Type: marks the document as a reusable template, available for use with PDF Templates or mail merge operations.
Doc Type: for documents hosted externally in Google Drive, Box or a similar service, this identifies the provider and links to the external file rather than uploading a local copy.
SuiteCRM tracks document versions through Document Revisions. Each time a file is updated, a new revision is created while the previous versions are retained. To add a new version, open the Document’s Detail View and create a revision from the Document Revisions sub-panel. The most recent revision becomes the active version shown on the Document record.
Documents can be linked to Accounts, Contacts, Opportunities, Leads, Cases, Bugs and other records. Linked documents appear in the Documents sub-panel on the related record.
