Accounts

Overview

The Accounts module is the central hub from which you build relationships with most other records in SuiteCRM. An Account typically represents a company your organisation works with — a sales prospect, customer, supplier, or reseller — and lets you track every interaction with that company in one place. From an Account you can link to Contacts, Leads, Opportunities, Cases, and activities such as Calls, Meetings, and Emails.

Key Fields

Field Description

Name

The company name. This is the only required field.

Office Phone

The main contact number for the company.

Website

The company’s web address.

Billing / Shipping Address

Separate address fields for billing and shipping. Both can be stored independently where they differ.

Type

Classifies the account: Analyst, Competitor, Customer, Integrator, Investor, Partner, Press, Prospect, Reseller, or Other.

Industry

The sector the account operates in, for example Technology, Finance, or Healthcare.

Annual Revenue / Employees

Company profiling fields useful for segmentation and reporting.

Rating

A freeform field for recording your assessment of the account, for example Hot, Warm, or Cold.

Member Of

Links this account to a parent Account. Use this to model corporate hierarchies where a subsidiary belongs to a larger organisation. The parent account’s Member Organisations sub-panel then lists all accounts beneath it.

Assigned To

The SuiteCRM user responsible for the account.

Relationships

From an Account record you can view and manage all associated records via the Relationships section:

Calls, Meetings, Tasks, and Emails logged against the account. Completed items move to the History sub-panel.

History

Completed activities and archived emails associated with the account.

Contacts

The individuals who work at or represent the account.

Leads

Leads associated with the account.

Opportunities

Open and historical deals associated with the account.

Cases

Support tickets raised by or on behalf of the account.

Documents

Files attached to the account.

Campaigns

Email campaigns the account has been sent, showing how it has responded.

Member Organisations

Child accounts linked via the Member Of field.

Quotes

Quotes raised for the account.

Invoices

Invoices raised for the account.

Contracts

Contracts held with the account.

Working with Accounts

  • Building account hierarchies: use the Member Of field to nest accounts under a parent. This is useful for group structures, franchises, or any organisation with subsidiaries — the parent record’s Member Organisations sub-panel gives you a view of the whole corporate family.

  • Printing an account as PDF: from the Account Detail View, open the Actions drop-down and select Print as PDF to generate a PDF using one of your organisation’s PDF templates. See PDF Templates for how these are set up.

  • Adding accounts to a target list: from the Accounts List View, select the records you want and use Add To Target List from the Bulk Action drop-down. See Target Lists for how to manage the resulting list.

  • Creating accounts from leads: when a Lead is qualified and converted, SuiteCRM can create a related Account automatically. See Leads for how conversion works.
